Job Summary:

The Attendance Officer and Exams Coordinator will be responsible for ensuring excellent attendance and coordinating exams. Additional responsibilities include:

· SEND team involvement to support with general administration and the EHCP consultation process

· Administration responsibility for accurate record keeping and management of the Single Central Register (SCR)

Responsibilities:

Attendance officer:

* Manage and maintain accurate attendance records for all students

* Monitor and analyse attendance data to identify patterns and trends

* Work with teachers and other staff members to identify and address attendance issues

* Communicate with parents and guardians regarding attendance concerns

* Develop and implement strategies to improve attendance and reduce absenteeism

* Provide administrative support to the school administration team

* Conduct, direct and organise home visits, in line with the GMIS Attendance Procedure, ensuring all visits are logged on CPOMS

Exams officer:

* Manage the examination process, including registration, timetabling, and results

* Ensure compliance with examination regulations and procedures

* Coordinate with teachers, administrators, and external agencies to ensure smooth examination administration

* Maintain accurate and up-to-date records of examination entries, results, and candidate information

* Provide support to candidates and staff during the examination period

* Ensure staff are given relevant training, specifically invigilation training

* Prepare and distribute examination materials, including question papers and stationery

* Monitor examination sessions to ensure they run smoothly and according to regulations

Additional responsibilities:

SEND admin:

* Provide administrative support to the SEND (Special Educational Needs and Disabilities) team, ensuring smooth day-to-day operations

*Assist in coordinating the EHCP (Education, Health and Care Plan) consultation process, including distributing consultation documents to relevant stakeholders

*Track and monitor consultation timelines, ensuring statutory deadlines are met

*Liaise with local authorities, external agencies, parents/carers, and staff regarding EHCP consultations and updates

* Maintain accurate and confidential records of EHCP documentation, correspondence, and outcomes

* Support the preparation of reports, meeting papers, and documentation for annual reviews and SEND meetings

* Update internal systems with pupil SEND information, ensuring data accuracy and compliance with data protection regulations

* Respond to general SEND-related enquiries in a professional and timely manner

SCR:

*Maintain and regularly update the Single Central Register (SCR) in line with statutory safeguarding requirements

*Ensure all staff, volunteers, and contractors have appropriate pre-employment checks recorded (e.g. DBS, right to work, qualifications)

*Conduct regular audits of the SCR to ensure accuracy, completeness, and compliance with current legislation

*Liaise with HR, the DSL and recruitment teams to obtain and verify necessary documentation

*Ensure timely input of new starters and removal of leavers in the SCR

*Support safeguarding compliance by preparing SCR documentation for inspections and audits

*Maintain secure and confidential personnel records in accordance with data protection policies

*Stay up to date with changes in safeguarding and compliance requirements, updating processes as needed

Requirements:

* Good understanding of safeguarding and child protection procedures

* Experience of working in an educational setting (not essential but desirable)

* Excellent communication and interpersonal skills

* Strong organisational and time management skills

* Ability to work confidentially and handle sensitive information

* Proficient in using computer software, including Microsoft Office, CPOMS and SIMS

Desired Qualifications:

* Relevant qualifications in education, exams, attendance or a related field

* Experience of coordinating exams and managing attendance
